Terms & Conditions
By booking a photography session with Orchid Media Collective, the client agrees to the following terms and conditions.
Booking & Deposit
A non-refundable deposit is required to secure your session date and time. The deposit amount will be applied toward the total cost of the session.
A session is not officially booked until the deposit has been received.
Payment Policy
The remaining balance must be paid by the agreed upon due date. Final images will not be delivered until full payment has been received.
Refund Policy
All payments made toward any photography session are non-refundable. This includes deposits and any additional payments made toward the total balance.
Refunds will only be issued if the photographer agrees to refund the session at their discretion.
Rescheduling
Clients may request to reschedule a session if needed. Rescheduling requests must be made as soon as possible.
Deposits may be transferred to a rescheduled date one time, depending on availability. Additional rescheduling may require a new deposit.
Cancellations
If the client cancels their session, the deposit and any payments made will not be refunded.
If the photographer must cancel due to an emergency or unforeseen circumstances, the client will be offered the option to reschedule or receive a full refund of any payments made.
Weather Policy
For outdoor sessions, weather conditions may require rescheduling. If weather is unsafe or would significantly affect the quality of the session, the photographer may recommend rescheduling.
The deposit will transfer to the rescheduled date.
Turnaround Time
Typical turnaround time for photo delivery is 1–3 weeks depending on the session type and season. Weddings may take 3–6 weeks.
Turnaround times may vary due to workload, travel, or unforeseen circumstances.
Photo Delivery
Final edited images will be delivered through an online gallery. The photographer is not responsible for loss of images once the client has downloaded them. Clients are encouraged to download and back up their files immediately.
RAW/unedited photos are not provided.
Prints & Products
Prints and products ordered through Orchid Media Collective are non-refundable once the order has been placed, unless the product arrives damaged or incorrect.
If a print arrives damaged, the client must notify the photographer within 48 hours of delivery.
Copyright & Usage
All photographs remain the copyright of the photographer.
Clients receive a personal-use license, meaning images may be shared online and printed for personal use. Clients may not sell, alter heavily, or use the images for commercial purposes without written permission.
The photographer retains the right to use images for portfolio, website, and social media marketing unless otherwise requested in writing prior to the session.
Model Release
By booking a session, the client agrees that the photographer may use selected images for portfolio and promotional purposes unless the client requests a written opt-out prior to the session.
Session Conduct
Clients agree to arrive on time and be prepared for their session. Late arrival may reduce session time.
The photographer reserves the right to end a session immediately if a client is behaving in an unsafe, threatening, or inappropriate manner. In this case, no refund will be issued.
Liability
The photographer is not responsible for injuries, accidents, or damages that occur during the session. Clients accept responsibility for their own safety and the safety of any guests involved in the session.
Agreement
By booking and paying a deposit, the client acknowledges they have read, understood, and agreed to these Terms & Conditions.
